THE BUDGET BREAKDOWN

Where should your retreat money actually go?

The question we get most: what percentage of my budget should be venue vs food vs experiences? These are the starting ranges we use. Every retreat flexes them, but if a line is far outside its range, that’s where to look first.

Category% of total costsNotes
Venue + lodging40–50%Usually your single biggest line. Includes meeting spaces.
Food & beverage15–20%All meals plus the welcome dinner and coffee that keeps everyone human.
Experiences & activities10–15%Excursions, guest facilitators, workshops, special evenings.
Transportation & transfers5–8%Airport transfers, local transport, your own travel.
Marketing & software5–8%Landing page, forms, payment fees, ads if any.
Insurance & fees3–5%Liability coverage, permits, processing fees.
Contingency buffer10–15%The non-negotiable. Currency shifts, no-shows, surprises.

These are percentages of COSTS, not revenue

Your profit is not a leftover line item. Set the profit goal first, add it on top of total costs, and that sum divided by realistic enrollment is your minimum price.

The buffer is not optional

Every first retreat has expenses nobody predicted. A 10–15% contingency is the difference between a surprise and a crisis. If the retreat only works without the buffer, it doesn’t work.

FIND YOUR ONE SENTENCE

The 3 questions behind every retreat that fills

Before the venue, before the price, before the marketing… your retreat needs one clear sentence: who is this for, and what do they walk away with? These three questions find it.

1

Who is going to get the maximum benefit out of your retreat?

Not ‘anyone who needs rest.’ A specific person you can picture. Their job, their season of life, their Tuesday.

2

What is their biggest pain point?

The thing they would name themselves, in their own words. If they wouldn’t say it at dinner, it’s not it.

3

What is their ideal outcome?

What can they do, feel, or decide after your retreat that they can’t today? That is what they’re really paying for.

Now write the sentence

My retreat helps [WHO] move from [THEIR BIGGEST PAIN] to [THEIR IDEAL OUTCOME].

If a stranger can read your sentence and know instantly whether the retreat is for them, it’s working. If they can’t repeat it back, they can’t refer it.
